Duplicate email #8 – on an IMAP account, if you have set-up Outlook to retrieve new emails automatically upon startup and open the Inbox automatically you will see each message is duplicated. If you have only one account defined, then uncheck the option to perform a Send/Receive at startup, if you have more accounts defined uncheck the option. Anyone who has access to your computer can accidentally send an email to your customers or employees. To prevent this from happening, you can disable the outgoing email function. Outlook will block all outgoing email as soon as you disable the function. Note that the email client will still retrieve emails from the email server and that users can still create emails. Another way to restrict access to your computer is to password-protect it.

Launch Outlook, click 'File' and choose 'Options' from the menu to open the Outlook Options window.

Click 'Advanced' in the left pane to view the advanced settings and then click the 'Send/Receive' button in the Send and Receive section to open the Send/Receive Groups window.

Select the 'All Accounts' group from the Group Name list and then click the 'Edit' button to open the 'Send/Receive Settings - All Accounts' window.

Uncheck the 'Send mail items' box in the Account Options section and then click 'OK' to stop Outlook from sending emails.

Click 'Close' and then 'OK' to close all windows and return to the main Outlook window.

Tip

  • Don't forget to enable the 'Send mail items' option before you attempt to send an email.

Warnings

  • When you click the 'Send' button, Outlook moves the email to the Sent folder but doesn't really send it. You are not warned about this, so you may think you're sending an email to a client when you're not.
  • Information in this article applies to Microsoft Office Outlook 2013. Procedures may vary with other versions or products.
